1. Confirm Internet Outage

(Troubleshooting)

Disconnect and reconnect WiFi on iPad, try moving to a different area and reconnecting.

Check if internet access issue is occurring on all devices or just one.

2. Notify the Relevant Staff & / or Contact Help Desk

 Once confirming there is an outage, you must call Hubify to register the outage.

3. Connect iPads to Data & Login with Citrix/Microsoft Authenticator.

(Offline Instructions)

Follow the instructions included in the folder, or below to turn off the device WiFi connection & turn on the 4G data connection.

Then, using the Microsoft Authenticator app on the Nurse’s Mobile, login to Citrix using the codes provided.

 If assistance is needed call Nurse on Call (especially if it is outside of business hours)

If it is during business hours, there may be staff onsite who can demonstrate process if needed.

4. Record Notes and Complete Med Rounds

After connecting devices, get as many staff as possible to complete their notes.

If there is a medication round due or an admission that must be prioritised over shift notes. Instead, staff will need to record their shift notes using pen and paper and enter them into Leecare once internet access is restored and more devices are available.

If using paper to record shift notes, staff must also note down, the date & time, their name and designation (e.g. RN/AIN), and the child’s name.

There is a template available in the folder & below (Resourses) take ONE and photo copy enough for staff.

5. Lodge Incident Report.

You cannot lodge any incidents in Leecare during an internet outage (even if you are using data). If an incident occurs during this time period, write the details in an email and send to Bernadette (ADON) and Nadine (DCGU).

Once Internet access is restored, record the incident as normal in Leecare and noting that the report is being lodged later than usual due to the outage but a summary was sent to the ADON and DCGU at the usual time.

You must record the Internet Outage as an incident once regular internet access is restored.

Remember to include details such as:

    If any med rounds were interrupted or delayed,

   If staff were delayed in or unable to complete writing their notes,

    Who was contacted & when,

    And what trouble shooting steps or interim measures were taken.

Leecare will only work when the device is either:

Connected to the Allowah PAC-Corp network (via Wi-Fi or ethernet cord) or

Using the device’s 4G network and logged in though Citrix / Microsoft authenticator

If your are connected to the PAC-Corp network and it still won’t load you may need to ‘FORGET NETWORK’ and select the PAC-Corp Wi-Fi again and enter the password.

When the Wi-Fi and internet fail, the newer models of the iPads have sim cards and can continue to be used during that period of time. To connect to the 4G Data network see the ‘Offline Instructions’ section.

If the internet outage is experienced on a weekday, during business hours, it is best to see if Maharla, Gill or Jono are onsite and able to assist as this will be the most efficient solution. If the outage occurs outside of regular business hours and there are none of the above staff onsite to assist, please follow the below information and contact the appropriate people.

 Hubify must be notified of ALL internet outages.

 

Hubify can help with issues like internet access, internet outages, and Allowah email passwords.

Hubify cannot help with issues with Leecare, forgotten Leecare passwords, Talent access, iPad passcodes or connecting iPads to data network.

Nurse on Call

–  If it is outside of business hours and you require further assistance then the instructions in this folder, contact the Nurse on Call. 

If the internet outage is experienced on a weekday, during business hours, staff may be onsite to demonstrate how to connect the iPads to data and login to Leecare if you are having trouble. If not, contact the Nurse on Call.

1. Connect to iPad Data / 4G Network
2. Printing Offline
3. Allocation

Once internet access returns, you will need to save a copy of the Allocation sheet in the correct folder on S Drive.

A. Handwrite & Photocopy

Using one of the printed, blank allocation sheets from the Resources section of this folder, complete the shift allocation. Do only one copy.

Then, take the hand written allocation sheet and photocopy enough sheets for all staff, plus one to save for later to scan and save to S Drive once internet access is restored.

B. Type & Print Offline

1. Collect one of the ‘Offline USBs’ from the key cupboard and plug it into a computer.

2. Open the USB folder and open the document called “AM/PM Handover Template”. Complete the allocation sheet and save as a new file.

3. Eject the USB and take to printer.

4. Following the steps on the poster on the wall next to the printer (or on the info page in the folder) select the correct file and print.

5. When internet access is restored, save a copy of the allocation sheet to the S Drive. Return USB to Key Cupboard.

4. Recording Notes
